To give a bit more background to the issue, we have recently set up a third party connector that feeds into our CRM 4.0 environment via a two way web service sync that occurs every 5 minutes.
Previous to this, I had created ExactTarget welcome email automations for each of our land developments wherein, upon creation (and where the modified date equalled the create date of the record) and adding of a development, a lead would receive a development-brand specific ExactTarget welcome email via automation and workflow.
Now that the leads are being 'updated' every five minutes by this connector, we're finding that our leads are receiving this welcome email every five minutes, as
I've attached a screen shot of how we've built the workflows.
OLD WORKFLOW – works fine for leads created in CRM
NEW WORKFLOW – works, but sends to any record regardless of how recent the created on or modified date is)
Essentially, we need the welcome email to only send when the lead has been created (today) and accepted the privacy policy; however when the lead is created the development isn't added until the lead has been saved for the first time, which is why we didn't set the workflow to run on record create. What we tried to create was a workflow that checks whether a lead's create and modified date are within 5 mins of each other (and if there was a clause for lead created TODAY we’d need that!), however this workflow seems to be working against all records that were created within any time range, as long as the other parameters were met. I’m totally stumped as to how to program these workflows to send as of today only – it’s not good if leads from three years ago can potentially receive a welcome email.
Any ideas anyone?
